Privacy Policy.
Her Campus Media LLC, a limited liability company located at 9 Lansdowne Street, Suite 2, Boston, Massachusetts 02215, United States ("Her Campus Media," "we," "us," or "our"), operates the website www.hercampu.shop and provides management consulting services. This Privacy Policy explains what information we collect, why we collect it, how we use and share it, and the choices you have.
1. Scope of this Policy
This Privacy Policy applies to personal information we collect through our website at www.hercampu.shop (the "Site"), through email, telephone and other communications with our office, and in the course of providing management consulting and advisory services (the "Services"). It does not apply to third-party websites or services that may be linked from our Site, which are governed by their own privacy policies.
By using the Site or communicating with us, you acknowledge that you have read and understood this Policy. If you do not agree with it, please do not use the Site or submit personal information to us.
2. Information We Collect
2.1 Information you provide directly
- Contact and inquiry information. When you email us, call us, or use the contact form on the Site, we collect your name, organization, email address, telephone number, and the contents of your message or brief.
- Engagement information. If you become a client, we collect information necessary to perform the engagement: billing and invoicing details, contract information, and business information you share with us in the course of the work.
- Correspondence. We retain records of emails, letters and call notes related to inquiries and engagements.
2.2 Information collected automatically
- Technical data. When you visit the Site, our hosting provider may automatically log standard technical information such as your IP address, browser type, device type, referring page, pages visited, and date and time of access.
- Cookies and similar technologies. The Site is a static website and does not itself set tracking cookies. Our hosting provider (Firebase Hosting, operated by Google) may process technical data as described in Section 5 below.
2.3 Information we do not collect
We do not knowingly collect sensitive personal information (such as health data, biometric data, or government identifiers) through the Site, and we do not conduct advertising or behavioral tracking. If an engagement requires handling regulated data, we address that in a separate written agreement.
3. How We Use Information
We use the information we collect for the following purposes:
- To respond to inquiries and evaluate potential engagements;
- To propose, negotiate and perform consulting engagements;
- To issue invoices, process payments and maintain business records;
- To communicate with you about the Services, including follow-ups on briefs you submit;
- To operate, maintain and secure the Site;
- To comply with legal, tax, accounting and regulatory obligations;
- To establish, exercise or defend legal claims.
We do not use your personal information for automated decision-making or profiling, and we do not sell personal information to anyone.
4. Legal Bases for Processing
Where applicable law requires a legal basis, we process personal information on the following grounds:
- Contract. Processing necessary to respond to your request for a proposal, to enter into an engagement, or to perform a contract with you.
- Legitimate interests. Operating and improving our practice, maintaining records of our business relationships, and securing our systems, where these interests are not overridden by your rights.
- Legal obligation. Retention and disclosure required by tax, accounting or other applicable law.
- Consent. Where we rely on consent, you may withdraw it at any time by contacting us.
5. How We Share Information
We do not sell, rent or trade personal information. We share it only in the following limited circumstances:
- Service providers. The Site is hosted on Firebase Hosting (Google LLC), and email is processed by our email service provider. These providers process data on our behalf under their own terms and certifications.
- Professional advisers. We may share information with our attorneys, accountants and insurers where necessary for the services they provide to us.
- Legal requirements. We may disclose information if required by law, regulation, legal process or governmental request, or to protect the rights, property or safety of Her Campus Media LLC, our clients or others.
- Business transfers. If the company is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
6. Data Retention
We retain personal information for as long as needed for the purposes described in this Policy. Inquiry correspondence that does not lead to an engagement is generally retained for up to twenty-four months. Client engagement records, contracts and invoices are retained for the period required by applicable tax, accounting and professional standards — typically seven years after the end of the engagement. When information is no longer needed, we delete it or render it anonymous.
7. Data Security
We apply reasonable administrative, technical and physical safeguards to protect personal information, including access controls, encrypted transport (HTTPS) on the Site, and limiting access to engagement materials to the professionals working on them. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and the relevant authorities as required by law.
8. Your Rights and Choices
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access. To request a copy of the personal information we hold about you.
- Correction. To ask us to correct inaccurate or incomplete information.
- Deletion. To ask us to delete your personal information, subject to legal retention obligations.
- Restriction and objection. To ask us to limit or stop certain processing.
- Portability. To receive your information in a structured, commonly used format.
- Non-discrimination. To exercise these rights without discriminatory treatment.
Residents of U.S. states with comprehensive privacy laws (including California, Virginia, Colorado, Connecticut and others) may exercise the rights described above by contacting us at office.sunli@hercampu.shop. We do not sell personal information or share it for cross-context behavioral advertising, so there is no "sale" or "sharing" to opt out of. We will verify your request and respond within the period required by applicable law.
9. Children's Privacy
The Site and the Services are directed to businesses and adults. We do not knowingly collect personal information from children under the age of 13. If you believe a child has provided us personal information, contact us and we will delete it.
10. International Visitors
We are located in the United States and process information in the United States. If you access the Site or communicate with us from outside the United States, you understand that your information will be transferred to and processed in the United States, where data protection laws may differ from those of your jurisdiction.
11. Third-Party Links
The Site may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies.
12. Changes to this Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the Site or applicable law. The "Last updated" date at the top of this page shows when the Policy was last revised. Material changes will be posted on this page; continued use of the Site after a change constitutes acceptance of the updated Policy.
